A leading Indian e-commerce player was struggling with the challenges of scrutinising and processing mountains of payroll data, in order to sanitize, collate and process it. The enterprise’s human resource function grappled with the challenge of streamlining and executing a seamless payroll data input process across disparate locations, functions and verticals. Their efforts to create and execute a data input process untainted by the risk of fraud, distortion and human error led them to StoHRM.

The quest for incorporating critical functions like on-boarding, operations, benefits, rewards and separation into a centralized, end-to-end employee life cycle management system, became the holy grail that the enterprise’s HR relentlessly pursued. Each function and vertical had multiple data points and data sets, that payroll processing had to incorporate. The payroll team had to ensure that multiple stakeholders contributed data sets that were error-free. The time-bound collation and validation of such data points added an additional layer of complexity to a process riddled with multiple challenges.

The payroll team faced manifold challenges – delays, errors, duplication of inputs, and incorrect mapping of inputs with employee codes. To add to their woes, stakeholders often failed to provide inputs before cut-off dates were frozen and closed.

For the ecommerce behemoth, Ascent HR customized a highly secure, workflow-driven online input collection module that provided specific roles and accesses to identified stakeholders. The centralized HR team was empowered with an additional layer of approval and checks so that they could review inputs before payroll processing. An exception management process that catered to last-minute changes, added a final layer of fail-safe reliability.

Each module has an auto-lock feature, as well as the flexibility to activate specific modules if extensions are required. The input module powers a payroll process that has built-in timeliness and enables high-quality data collection – timely inputs are necessitated by lock-in features, and data duplication checks result in verified, sanitised data. Built-in quality checks led to reduced man hours and enhanced operational efficiency.

The StoHRM payroll engine

  • Timely Inputs: A time enabled module ensured post the specified time period an auto cut off would activate and lock entry of data. This ensured all information was filled in time.
  • Duplication Checks: The Online input module ensured there were no duplicate/repetitive employee information provided I.e for PAN, email id, employee no, bank account no etc. This also eliminated incorrect employee data.
  • Auto Lock: The auto lock feature ensured timely input of data. An extension to activate a specific module was provided to the payroll team thus providing flexibility to activate a specific module for additional information.

Additionally, given its high-volume and diverse workforce, the enterprise was looking for a solution that would allow employees and employer alike, to reduce time spent on hygiene activities like data collection, collation and verification. The Ascent HR team customized a host of templates to halve turn-around times for baseline HR functions like Onboarding and Separation. The maker-checker protocol ensured that a single point of contact controlled and standardized all template-specific requirements. A parallel synchronization with Power Pay lead to increased controls over data access, and a cascading uptick in productivity, compliance and due process.

The maker-checker protocol also introduced the necessary checks and balances into data-handling for sensitive financial and payroll data that is vulnerable to distortion, manipulation and misuse. Turn around cycles were dramatically compressed by having approver and exception-handling protocols that were system-generated and auto-triggered. Data-capturing was upgraded from the old Excel-based format to automated data uploads that eliminated manual intervention. Any latent delays due to the introduction of immovable cut-off dates were remedied by batch processing. A fully digitized data source allowed for faster processing and analysis of volume-based, multi-location, multivariate data; in turn facilitating data sharing and data transparency.

All the multiple benefits and value-adds notwithstanding, discarding long-standing processes and best practices didn’t come without numerous pushbacks and customer pain-points. The Ascent HR team engaged in sustained hand-holding, and provided unconditional customer support to tide over initial teething troubles and glitches. The team conducted numerous dry runs and mock simulations to familiarise themselves with the customer’s pain points and challenges.
