The role of administrator involves a great deal of multitasking. You will work with teams, oversee the operations within your company, manage groups, coordinate with management and engage in planning according to the needs of your company. If there are office resources or administrative issues, you will be the person expected to deal with them.

Job Roles:
• Facility Management, Operation & Maintenance, Handling Technical & Soft Services of Corporate offices.
• Preventive & Breakdown Maintenance of HT Substation, Power Transformer, HT & LT Panels, HT Breakers, DG Sets, UPS, HVAC, STP, WTP & other Utility equipment.
• Planning & Scheduling the PPM & TPM of Electrical & Utility equipment.
• Planning Shutdown, Schedule Repair & Maintenance work.
• FM Operations, Handling Helpdesk Management, receive & close the complaints.
• Handling the soft services of Security, Housekeeping, Landscaping, Water & Waste Management.
• Plan, Schedule & Implementing the check sheet for Housekeeping work.
• Planning & Implementing SOP for Technical & Soft services activities.
• Handling the large size team, Man power Management, Planning Duty Roster & Shift schedule.
• Handling AMC & Vendor Management, Vendor Payments, Quote Negotiation.
• Maintenance of Fire Alarm System, Fire Extinguisher System & Fire Hydrant System.
• Handling Critical Equipment Maintenance, Spare Parts Management.
• Maintain the documents of Helpdesk complaints, Daily &Weekly Reports, History book, EB & DG log book, Check Sheet, HT Maintenance Documents & Spares consumption book.
• Maintain the documents of Power Consumption, Water consumption, EB Billing.
• Preparing the Reports & Documents, Reporting to General Manager & Replying to e mails.
• Preparing Daily, Weekly & Monthly report.
• Reporting to General Manager.

Requirements:
• Excellent written and verbal communication skills.
• Ability to multitask and prioritize
• Able to complete complex administrative tasks with minimal supervision.
• Proficient in MS Office
• Should possess good negotiation skills
• Good at problem-solving
• An exemplary team leader with strong team-building and sustaining skills.

Key responsibilities for the role:
• Responsible for handling all over the workplace and repair maintenance.
• Responsible for all admin bills, handling invoice verification, follow-ups with the Finance team for payments, maintaining records for audit purposes, and handling petty cash.
• Responsible for budgeting cost estimating, and forecast.
• Responsible for executive vendor agreements.
• Coordination with all vendors time-to-time to enhance office facility and improve the workplace experience.
• Responsible for all building coordination with the landlord
• Managing real-time space management for seat allocation.
• Coordination with the HR team and business for event and day to day activities/requirements
• Responsible for all admin inventory and monthly ordering.
• Responsible for central procurement for remote locations.
• Create Purchase Orders for all procurements as per the finance process.
• Responsible for evaluating support services, identifying needs, anticipating problems, and developing corrective action plans.
• Responsible for the close coordination with the Caterer Partner, deciding on the Menu spread, Special Menus, and Menus for Events. • Responsible for providing feedback to the FB Program Manager for the taste and Vendor Scorecard and KPIs.
• Planning, developing, and coordinating a program of planned, preventive maintenance for site workforce building equipment.
• Coordinates with building Admin team for regular maintenance and repair services.
• Knowledge of statutory compliance.
